Let’s jump right to the point: the way a vendor communicates with you on first contact while you’re planning an event will dictate your experience with them throughout the planning process.
If you send an initial inquiry email and you don’t hear from them for a week or two and then when you do hear from them, there is delayed communication in between each correspondence, it is going to be an absolute headache working with them throughout the planning process.
Now, I understand vendors are busy - likely juggling multiple projects at the same time, but at the same time, new customers are the lifeblood of any business so responding to new clients quickly and consistently should be priority! So why am I so adamant about you thinking twice before hiring unresponsive vendors, here are 2 major reasons:
Reason #1: They’ll drag out the event planning process
When a vendor doesn’t respond in a timely manner, they are preventing you from making progress on your event planning. If you’re waiting days and weeks before you can get a response that allows you to make a decision, you’re eventually going to hit a point where you’re doing things last minute because of the lack of urgency on the part of the vendor.
Reason #2: They eventually prove unreliable
They’ll respond to your inquiry email (eventually) but as the conversation continues, they’ll either half-ass responses or stop responding all together. Some vendors feel as if when you’re asking too many questions, you’ll be a trouble client when in reality it’s their job to assure the client that they’re capable of handling the job - so, they’ll stop responding, leaving you to start your vendor search all over again.
I personally am huge on communication - especially when it comes to communicating with businesses to whom I’m eventually trying to give my money! And you should be as well. If you send them an email and they don’t respond after you try and reach them a second time (whether that’s by a second email or a phone call), drop them as an option and move on to the next vendor. It’ll be the best decision you make as you’re planning your event!
